# Consult Branches

Consult branches allows the user to manage the branches of the account. User can search for branches, add new branches, edit/delete existing branches and view branch details incl. rooms, members of the branch, appointments in the branch, times available/unavailable for appointments in the branch + statistics of the branch's appointments.

# Search Branches

Sort and search options The list of Branches is by default sorted alphabetically (A->Z).

The user can choose to change to "sort by:" = Number of Advisors --> the list will then show branches sorted from highest to lowest number of members of the branch.

The user can also filter the list of Branches by searching for the name of the branch. Rules for "Search Branches":

  • user must enter minimum 2 characters
  • search result shows only branches with names beginning with the characters entered.

E.g.:

  1. User enters "r" and click search --> no search executed
  2. User enters "ro" and click search --> search result: "Rouen" and "Rouen Bretagne" - but NOT "Charonne"

# Add / Edit / Delete Branch

Basic branch information The basic information needed when adding / editing a branch is:

  • Name (Required field)
  • Branch ID (optional)
  • Address (required field)

    Used for e.g. calculating distance for on site appointments, details for appointments in Pro, details for appointments in SC IF address is edited user must choose date for update of address - first available date is the day after the address is edited

  • Phone number (optional)
  • Email (optional)

User can also choose to add rooms to the branch, only required info is "Name" > Rooms are used for private Appointments and Events

Branches can be added in the list of branches in Consult > Branches section Branches can be edited and deleted from Branch details page

# Branch details

The Branch details page contains all information about the branch. Here the user can consult the sections:

  • Information

    contains basic branch information (except for rooms) and the option to edit/delete

  • Rooms

    contains info on rooms and the option to edit/delete

  • Advisors

    list of Advisors who are member of the branch + option to Add Advisor + view Advisor details

  • Calendar

    Week view of all Appointments booked for members of the branch + Appointments booked in rooms of the branch

  • Working Hours

    Branch working hours is set to know when the rooms in a branch are available for appointments.

    Working hours can be added / edited in this section (only)

    When editing working hours user must define a date for the WH to be updated - first available date is the day after the WH are edited

  • Closures ("stoppage")

    Calendar where closures of the branch can be viewed / added / edited / deleted (all admin of closures is done in this section)

    A closure of a branch is a high-level unavailability. If the branch has a closure added - all members of the branch are unavailable (NB! Rooms are still available)

    A closure is min. 1 day

User can also go to the Branch Statistics from the branch details page (see section below)

# Branch statistics

General info about statistics In the statistics the user can see data for Appointments related to the branch within a chosen date OR week OR month

The statics are divided in two categories:

  • Appointments booked

    Data for the appointments booked within chosen timeframe (date of booking NOT date of appointment)

  • Appointments cancelled

    Data for the appointments cancelled within chosen timeframe (date of cancelling NOT date of appointment)

Note! If an appointment is cancelled - the data for the appointment will dissappear from "Appointments booked" and will show in "Appointments cancelled only"

All sections (except for Sources and Recipients are divided in 2:

  • Appointments booked OR cancelled for the branch

    showing data for Appointments booked for members of the branch

  • Appointments booked OR cancelled by the branch

    showing data for Appointments booked by members of the branch

Ex 1: Manager from Branch 1 books an appointment for advisor in Branch 2 --> data for this appointment is shown in:

  • Branch 1 statistics (under "booked by the branch")
  • Branch 2 statistics (under "booked for the branch")

Ex 2: Manager from Branch 1 books an appointment for advisor in Branch 1 --> data for this appointment is shown in:

  • Branch 1 statistic (under "booked by the branch" AND under "booked for the branch")

Note! Appointments booked by a manager outside the branch - for an advisor outside the branch - but in a room of the branch is not a part of the branch's statistics. People related data only!

Appointments booked

  • Types

    Data showing number of each Appointment Type booked (dynamic data - only showing types with min. 1 appointment booked in selected timeframe)

    Data is sorted alphabetically (A->Z / Name of appt. type) ("appointment_categories": "title")

  • Methods

    Data showing number of each Appointment Method booked (dynamic data - only showing methods with min. 1 appointment booked in selected timeframe)

    A->Z - By name of method in English or French (depending on manager setting) - ("category_location_skill_names": "en_name" / "fr_name")

  • Starting time

    Data showing number of appointments for appt start time ("appointment": "dt_start")

    Static view, showing all start times from 7:00 to 17:45 no matter if there are appointments or not

    NOTE - AS IS we don't show data for any appointments with a starting time before 7:00 or after 17:45

  • Time between booking and appointment

    displaying data for time between time for the booking and start time of the appointment ("appointment": "dt_start") divided in 5 predefined timesframes.

    Defined timesframes: 1. "less than 24 hours", 2. "between 24 and 48 hours", 3. "between 48 and 72 hours" 4. "between 3 and 7 days", 5. "more than 7 days" (will be displayed in French if manager setting is language=french)

  • Sources

    Displaying data for where the bookings of the appointments for advisors in this branch comes from ("Appointments booked for the branch") Always showing "By this branch" (number of appointments booked by users in this branch for users in this branch), "By users outside this branch" (number of appointments booked for users in this branch by users outside of the branch - incl. appointments booked in Calizy Selfcare), "Total" (number of appointments)

  • Recipients

    Displaying data for where the appointments booked by users in this branch go to ("Appointments booked by the branch") Always showing "For this branch" (number of appointments booked by users in this branch for users in this branch), "For users outside of this branch" (number of appointments booked by users in this branch for users in other branches/hubs), "Total" (number of appointments)
